Terms, and what we need from the school
Track One is a three-hour, in-school songwriting workshop for Transition Year groups, delivered by The Vocal & Music Academy, Leixlip. Booking on the form means the school agrees to the following. It’s short on purpose.
The fee
One fixed fee for the whole group, set by the number of students taking part and agreed in writing before the day. No head-counting on the morning. If your numbers change materially before the workshop, tell us early and we’ll adjust the quote so it won’t become an issue. Travel is quoted separately and included with the confirmation.
Travel is included for schools in Dublin, Kildare, Meath, Wicklow and Louth. Further afield, we add a flat travel charge per facilitator, quoted with the fee so the total is agreed before you confirm.
Payment
The invoice is issued on confirmation and payable within 30 days of the workshop date. Purchase orders and supplier set-up forms are fine — just tell us who they go to.
Moving or cancelling a date
Life happens in schools. Give us 14 days’ notice and we’ll move the date at no cost. With less than 14 days’ notice, a rescheduling charge of 25% of the fee applies. If we can’t deliver on the day — illness, weather, the unexpected — we reschedule at no cost or refund in full.
What we bring
Facilitators, equipment, and the app the students use to play. Our facilitators are working songwriters, performers, music teachers, and Garda vetted.
What we need from the school
- One room per class group for the full three hours, with classes kept intact rather than split.
- Any breakout space you can free up — spare rooms, library, hall, quiet corners — so groups of five or six can listen back and write without the next group in their ear. This will affect the morning more than anything else.
- Students pre-sorted into groups of five or six before the day, ideally with someone who plays an instrument in each group. A class of 30 makes five groups.
- School iPads with the students, charged. We’ll check before the day that the app runs on your devices — just give us a name in your IT or iPad team.
- School staff present and supervising throughout, as they would be for any class. Our facilitators run the creative side; behaviour stays with the school.
- A named contact on site, plus parking and unloading close to the rooms.
- Start and finish times confirmed against the bell.
Introductory rate
Schools booking at the introductory rate agree to be named as a Track One school, to give us a short comment on how the morning went, help to promote it on TY Social Media Groups and networks, and to allow photographs on the day within the school’s own consent rules. If a school would rather not, the standard fee applies instead — no bother at all.
Before the day
About two weeks out we’ll send a short checklist for the practical details. A week before, we’ll confirm times and do the iPad check.
